There is no single best PTA treasurer software. The right choice depends on which part of the job hurts most. So instead of ranking tools one to ten, I have grouped them by the problem they solve best.
How to choose
Ask yourself which of these is your real pain:
- Signatures and reconciliations. Managing stacks of papers for signatures, reimbursing people quickly, and reconciling accurately.
- Bookkeeping. Recording transactions and producing clean reports.
- One tool for everything. Website, membership, communication, and books in one place.
- Price. Compromising on quality to keep costs low.

Signatures and reconciliations: Volo Cash
This is the tool I built because it is the problem I had. Volo Cash is built around the treasurer workflow: submit expenses without an account, approves with digital signatures configured to match your bylaws, see the remaining budget at the moment you approve, and you reconcile with click-to-match transactions. It also prints checks, generates required reports, manages vendor documents, and is built around years of real problems that treasurers have run into.
- Best for: organizations where a treasurer is spending more than an hour a month with current tooling.
- Watch-outs: lighter on hands-off automation than the bookkeeping tools, and no membership module.
- Price: as low as 1% of your expense budget, capped at $500 per year, with a three-month free trial. Up to $3000 for very large organizations.
Best established bookkeeping: MoneyMinder
MoneyMinder has been the default answer for volunteer treasurers since 2003, and for good reason. It is excellent at recording transactions, reconciling the bank, and producing board-ready reports, with automatic bank feeds and a large, trusted user base.
- Best for: treasurers whose main job is keeping clean books, across many org types (PTAs, HOAs, churches, clubs).
- Watch-outs: the approval and signature workflow is light; it is a ledger first.
- Price: $299 per year.

Best modern, automated bookkeeping: FutureFund BeeKeeper
BeeKeeper is the newest and most polished of the bookkeeping tools, with a modern, mobile-friendly interface, automatic bank feeds, and membership tracking through its FutureFund parent.
- Best for: treasurers who want hands-off, automated bookkeeping and a modern interface.
- Watch-outs: feels closer to QuickBooks or Xero with PTA labels rather than to a treasurer-workflow tool, with no configurable approvers and no unified ledger.
- Price: about $480 per year.

Best for legacy process: myPTEZ
myPTEZ is built specifically around PTA financial procedures and report formats, and it is endorsed by several state PTAs.
- Best for: Low costs and PTAs that are already using myPTEZ and don’t want to switch.
- Watch-outs: not actively developed, dated interface, no ledger view, complicated menus, no approval forms.
- Price: $99 to $460 depending on revenues and add-ons.
Best all-in-one (and cheap): RunPTO
RunPTO bundles accounting with membership, a student directory, a website builder, an online store, and more, at a flat price with unlimited users.
- Best for: groups that want one cheap tool to replace several.
- Watch-outs: dated interface; treasury is one of many modules, not the design center.
- Price: $299 per year, unlimited users.
Best all-in-one (full suite): Membership Toolkit
Membership Toolkit runs your organization’s website, directory, communication, and membership, with accounting available on its higher tiers. Many PTA sites already run on it.
- Best for: organizations that want a complete website-and-membership platform and will use the accounting as an add-on.
- Watch-outs: dated interface, the accounting is a module, not the focus, and it sits behind the higher-priced tiers.
- Price: $550 to $1,150 per year depending on tier (accounting is on the $850 Premium tier and up).
Cheapest credible option: PTO Today Finance Manager
PTO Today’s Finance Manager is web-based accounting software pitched squarely at volunteers, from the largest brand in the PTO/PTA space.
- Best for: small groups that want simple, trusted bookkeeping at the lowest price.
- Watch-outs: dated interface, bookkeeping only; no approval workflow.
- Price: $139 per year
When a general accounting tool fits: Aplos
Aplos is true nonprofit fund accounting. It is more powerful and more expensive than most volunteer groups need, but it is the right call if you have grown beyond simple cash bookkeeping.
- Best for: larger or more complex nonprofits with someone comfortable in real accounting software.
- Watch-outs: overkill and a steeper learning curve for a typical volunteer treasurer.
- Price: from about $79 per month.
A note on collecting money: Cheddar Up, Future Fund, and Givebacks
These are payment-collection tools, not treasury software. They are great for collecting dues, event payments, and store sales, and they pair well with a bookkeeping or workflow tool rather than replacing one. If your need is money coming in, look here; if it is approving and paying money going out, look at the categories above.
Tools that are gone
Nonprofit Treasurer (nptreasurer.com) was a popular free option for all-volunteer boards, but it has shut down. If you are coming from it, you will need to move to one of the tools above.

The bottom line
Pick by your pain. If approvals and signatures stall your reimbursements, a workflow-first tool like Volo Cash is built for that, and you can try it free for three months. If clean books are the job, MoneyMinder or PTO Today’s Finance Manager are solid. If you want one tool for everything, RunPTO or Membership Toolkit.
