What Are Reminders?
Reminders let you schedule recurring tasks tied to your role in the organization. They’re useful for things you need to do on a regular basis — like reconciling bank accounts each month or filing tax forms once a year.
Reminders also serve as documentation for your successor. When someone new takes over your role, they’ll see the same list of scheduled tasks.
Who Can Use Reminders?
Anyone with a role in the organization can create reminders. Each reminder is tied to the role you hold, and only you see the tasks it generates.
Creating a Reminder
- Go to Reminders from the navigation menu
- Click Add
- Fill in the details:
- Title — a short name for the task (e.g., “Reconcile bank accounts”)
- Details — optional instructions on how to complete the task, useful for your successor
- Schedule — how often the task repeats
Scheduling Options
Reminders can be repeated via two schedules:
- Monthly — every N months, on a specific day, starting from a date you choose (e.g., every 1 month on day 3, starting March 2025)
- Yearly — every N years, on a specific day of specific months (e.g., every 1 year on day 1 of January and July)
Suggested Tasks for Treasurers
If you are in a role like treasurer, you’ll see suggested templates when you first visit the Reminders page. These are common treasurer tasks with pre-filled schedules adjusted to your organization’s fiscal year:
- Reconcile bank accounts (monthly)
- Prepare audit records (semi-annual)
- Prepare and file tax forms (annual)
- Submit annual insurance payment
- Submit worker’s comp insurance payment
- Start budget planning for next year
Click any suggestion to pre-fill the form, then adjust as needed.
Completing Tasks
When a reminder’s due date arrives, it appears in your Upcoming Todo list on the Reminders page. To mark a task done, check the box next to it. You can expand a task to see its details and edit the underlying reminder.
Overdue tasks are highlighted in red, and tasks due within the next week are highlighted in yellow.
Email Notifications
You’ll receive email reminders when tasks are coming due. To turn these off, go to your user settings and toggle Get email reminders for unfinished tasks.
Editing & Deleting Reminders
Click any reminder from the list to edit its title, details, or schedule. If you change the schedule, any incomplete future tasks are regenerated based on the new schedule. To delete a reminder and all its tasks, click the delete button on the edit page.
