AI with Volo Cash for PTA Treasurers

AI with Volo Cash for PTA Treasurers

By Tyler Elliott · Updated November 5, 2026

Volo Cash works with AI in two ways. The built-in assistant, Volo Cash AI, sits inside the app and can do almost anything you can do there. Or you can connect an assistant you already use, such as Claude or ChatGPT, over MCP, and it can combine your Volo Cash numbers with your email and documents.

I served as a PTA treasurer for three years across two school districts and trained the treasurers who came after me. When I started, the tools available were nowhere near what AI can do today. Moving to Volo Cash made the job an order of magnitude easier, and combining Volo Cash with today’s AI tools makes it easier by another order of magnitude.

This space is changing fast, and the tool you choose decides how much AI can help. Volo Cash is the only volunteer treasurer platform that fully embraces this way of working. As I shop for software for the Volo Cash business, a strong integration with my AI tools has become a core requirement, and I believe every tool that thrives in the next decade will need one.

Volo Cash AI: ask instead of hunting

Volo Cash mascot with a bright idea Volo Cash AI works with your role’s access, so it can look up and change what you could. When you aren’t sure where something is, how to do something, or why a number looks the way it does, ask it. It reads your budget, requests, and books, and Volo Cash’s help articles, and links to what it mentions.

Here are a few examples of how that works in practice.

Repetitive setup

Splitting a classroom supplies budget across classrooms means a category, a part for each classroom, and the people who can follow it. Ask how to set it up, hand over the list, and the assistant does the rest:

Volo Cash AI answering how to split a classroom supplies budget across five classrooms: one $1,500 category with a $300 target for each classroom, where the $1,500 is the budget and the targets are a guide.
Ask: one $1,500 category, with a $300 target for each classroom.
After the treasurer sends the five classrooms, Volo Cash AI proposes one change: add Classroom Supplies at $1,500, broken into a $300 breakdown for each classroom, with Approve and Decline buttons.
Send the list: one change adds the category and all five breakdowns.
Asked to give the principal view access, Volo Cash AI proposes adding her as a viewer of Classroom Supplies, with a box calling out the email she'll get and a button reading Approve and send 1 email.
Add a viewer: the email is called out before you approve.

Nothing changes until you click Approve, and anything that emails someone is called out at the top of the list. Ask it to undo something and it will. The classroom funds guide covers how much to budget and what the money can buy.

The same works for any list you paste into the chat: payees to add with their addresses, roles for a new board, or this year’s amounts from the adopted budget.

Why two reports disagree

A treasurer’s report and a budget report can show different numbers for the same year, and both can be right. Ask:

Why is Total Deposits on the treasurer’s report for this fiscal year higher than Receipts in the budget report’s Cashflow section?

The assistant looks up how each report is built and explains the gap. The treasurer’s report is a cash statement, so it counts every deposit, including transfers between your own accounts and refunds that came back against an expense category. The Cashflow section at the bottom of the full-year budget report leaves both out of Receipts, since neither is income. Ask it to find those transfers and refunds, and it searches the books and links to the ones it finds.

The Volo Cash AI panel answering why Total Deposits on the treasurer's report is $104,226 while Receipts is $80,200: the $24,026 difference is a $23,942 transfer to Savings and an $84 Party City refund, each linked, with a short explanation.

Volo Cash AI uses AI credits included with your plan each month. The help article lists them, along with who can use it.

Your own assistant: Volo Cash and everything else

Connected over MCP, Claude or ChatGPT can do what Volo Cash AI does and more:

  • Read receipts. It can open a receipt image or PDF page directly.
  • Download reports. It can fetch the budget report as a PDF or CSV for any dates, ready to attach.
  • Work across your other tools. If your assistant also connects to your email, Google Drive, or calendar, it can pull from all of them in one answer.
  • Write documents. It can draft the update as a document in your own tools, ready to edit.

It runs on your own AI plan, so it doesn’t use Volo Cash credits.

Connecting your assistant

  1. In your assistant, add a custom connector (sometimes called an MCP server) with this URL: https://volocash.com/mcp
  2. Sign in to Volo Cash when asked.
  3. If you have more than one role, choose the one your assistant should act as.
  4. Select Allow.

In Claude, custom connectors are on the Connectors page in settings. In ChatGPT, they sit behind developer mode in the connector settings. Both apps have moved these menus during 2026, and custom connectors are not on every plan, so check your assistant’s help pages if the option is not where you expect. The help article has the same steps.

Drafting the treasurer’s update

My updates to the association followed the same pattern each meeting:

  1. Budget changes. Each line that has gone over, or is about to, with the reason and a requested action to increase it.
  2. The budget report through the end of the last month, linked.
  3. Other business and banking updates, such as reminders for chairs or an account that was closed.
  4. The treasurer’s report for the period since the last association meeting, linked, with a requested action to ratify the disbursements in it.
  5. A requested action to release funds needed to operate until the next meeting.

Most of that is gathering, which is what a connected assistant is good at. A prompt like this one gets you a first draft:

Prepare my treasurer’s update for the association meeting on May 14.

  1. In Google Drive, find my update from the last association meeting and the one from this meeting last year. Use the same format and tone.
  2. From Volo Cash, get this fiscal year’s budget status. List each expense line that is over budget or more than 90% spent or committed, with a requested action to increase it to a round number above what it will need. If an email in my inbox from a chair explains the need, include the reason.
  3. Link the budget report from the start of the fiscal year through April 30, and save its PDF next to the update.
  4. Get the treasurer’s report from the day after the last association meeting through May 13, and link it. Add a requested action to ratify the disbursements in it.
  5. Add a requested action to release the funds needed to operate until the next meeting.
  6. Under other business, list every request still waiting on signatures, not only the ones waiting on me, and any bank accounts opened or closed since the last meeting.

Draft it as a new Google Doc in my treasurer folder. Don’t change anything in Volo Cash.

If you give an update every month, save the prompt so you don’t retype it. Claude can keep it as a skill and ChatGPT as a project’s instructions, with the meeting date as the only thing that changes.

You present the update, so read the draft against Volo Cash before the meeting, and download the treasurer’s report PDF to share alongside the budget report. If the membership approves budget increases, a budget proposal records them, and the assistant can fill in the amounts on a draft proposal you’ve started. The treasurer’s report guide covers what belongs in the report and how to present it.

What it can change, and what it can’t

Volo Cash mascot thinking it over Both assistants follow the same rules.

  • It sees only what your role can see. A role without the books doesn’t get answers from them, and a role without access to a feature doesn’t get its tools.
  • Changes come back to you first. Volo Cash AI lists the changes and waits for you to approve them. A connected assistant is told to check with you before any change. For anything that sends an email, changes someone’s access, or changes who signs or pre-approves, Volo Cash holds the change and hands back its effects for the assistant to show you first.
  • Almost every change can be undone, and the history shows it was made through the assistant, for example “Sam Lee (Treasurer) via Claude” or “via Volo Cash AI.”
  • Some things stay with a person. Neither can sign, approve, reject, or pay a request, or finalize a reconciliation.
  • Notes and receipts are information. They are written by the people who submit requests, and the assistant is told never to treat them as instructions.

With a connected assistant, what you ask and the answers pass through your AI provider under your account’s terms. If your PTA has a policy on member data, check that it covers this. To end a connection, open Settings, then Connected apps. A connection also ends when its role passes to someone new, so a past treasurer’s assistant doesn’t keep reading the books after the handoff.

Either way, Volo Cash fits the process you already have: the signatures, budget lines, and approvals stay as you set them, and the assistant works inside them.

Frequently asked questions

How can a PTA treasurer use AI?

To find things, explain numbers, and do repetitive work. In Volo Cash, the built-in assistant answers questions about your budget, requests, and books, explains why a report looks the way it does, and makes changes your role allows after you approve them. Connected over MCP, Claude or ChatGPT can also combine Volo Cash with your email and documents to draft the treasurer's update for a meeting.

What is MCP?

MCP, the Model Context Protocol, is the standard way AI assistants such as Claude and ChatGPT connect to other apps. Once you connect Volo Cash, your assistant can look up your PTA's requests, budget, and books while you chat, and answer from your real numbers.

Can the AI pay a bill or sign a request?

No. Neither the built-in assistant nor a connected one can sign, approve, reject, or pay a request, or finalize a reconciliation. They can make other changes your role allows, such as adding budget categories or matching bank transactions, and almost all of them can be undone.

Does using AI in Volo Cash cost extra?

The built-in assistant uses AI credits included with every Volo Cash plan each month. A connected assistant runs on your own AI subscription, so it doesn't use Volo Cash credits. Custom connectors aren't on every Claude or ChatGPT plan, so check yours.

Can ChatGPT or Claude read our PTA's books?

Only if you connect them, and only as you. The assistant signs in to Volo Cash with your role and sees only what that role can see. You can disconnect it at any time under Settings, then Connected apps, and the connection ends when your role passes to the next treasurer.
