Budget viewer access grants read-only access to a set of configured budget items and groups. This is useful for someone who submits many expenses against a budget but has no approving role in your organization, e.g. a teacher who has a classroom fund and wants to know how much of it is left.
Accessing Volo Cash
If you’ve been invited, you may have an email reading: “You can now view budgets for …” and a View budgets button. Sign into Volo Cash with the same email this invite was sent to. You’ll arrive at the Budget Report showing details about the categories you have access to see.
For each one you’ll see:
| Column | What it shows |
|---|---|
| Budgeted | What was set aside for the year |
| Period Spent | Activity inside the dates shown at the top |
| FY Spent | Activity across the whole fiscal year |
| Remaining / Over | What’s left, in red once it’s overspent |
Income categories read Actual rather than Spent. For more details on the controls and filters, see The Budget Report.
Category details
Click a category name for the list of all its contributing activity. Each line item will include the Date of the activity, a Description that includes the payee’s name, the current Status (one of open, signed, paid, recorded), and the Amount affecting this budget. You can click a request that falls wholly within your budget view access to see its details, much like what you see after submitting one. Ledger entries and other non-expense activity appear as line items only.
