Fiscal Year Transition

Prepare Next Year’s Budget

Copy from the previous year

If your budget is mostly the same year to year, the fastest approach is to copy it forward:

  1. Go to Budgets
  2. Click Copy from previous year
  3. All budget items — including their groups, pre-approvers, and amounts — are duplicated into the new fiscal year and linked via Continued From

After copying, review the new items and adjust any amounts that have changed.

Import a fresh budget

If your budget has significant changes, start from a new CSV instead. See Setting Up Your Budget for the import steps.

Update Roles

Roles persist across fiscal years — you don’t need to recreate them.

  • If a role uses a dedicated email (e.g., treasurer@yourorg.com), no changes are needed. The new person signs in with that email and is prompted to set up their identity.
  • If a role uses a personal email, update the email address on the role to the incoming person’s address.

See Managing Roles and Permissions for details on role transitions and the retirement process.

Set Up Reminders

A fiscal year transition is a good time to set up reminders for the new year’s recurring tasks — reconciling accounts, filing tax forms, preparing audits, and so on.

Reminders also serve as documentation for future volunteers. When someone new takes over a role, they’ll see the same list of scheduled tasks with instructions on how to complete each one.

See Reminders & Recurring Tasks for setup steps and suggested templates.
